Why Online Backup?

Onsite backups to tape, servers, external hard drive, memory cards, or DVD means that the media used needs to be physically managed. Maintaining an effective backup strategy means regular backups requiring multiple media, storage space, time, money and manpower. More than likely, the process is not automated. Staff must physically complete and verify the backup has been successful.

Our online backup system bypasses all of this, is 100% automated and much more secure. You can retrieve or verify your files on our server from virtually any location in the world!

Furthermore, most onsite media isn’t secure. Failure is common. It can be lost, damaged or destroyed. Onsite backup systems cannot provide protection against theft, fire, or any other form of local system failure. For all these reasons, an online, off-site backup is by far the most efficient and reliable option. Of course, DataBackup recommends that you use our services to complement your own local backups.

What do I need to use DataBackup Online Backup?

All you need is an active Internet connection. We recommend a broadband service of at least 512k for online backup

If it’s stored off-site, how do I know my data is secure?

At DataBackup, your data is encrypted before it even leaves your site using military grade encryption algorithms. Only then is it transferred to our ISO27001-certified secure data centres over a 256-bit SSL secure connection. This is similar to what the financial service providers use for online banking services. Furthermore, we employ third party security experts to test our systems to make sure they stay impenetrable.

When it comes to restoring your data, that can only be done using your Internet connection and you can specify which IP addresses have access to that data.

How easy is DataBackup Online Backup to use?

The answer to that is that it’s much easier than performing your own backups. You tell us what you want backed up and when. We’ll do the rest! Every backup is tested and verified. And, after each, an email will be sent to you confirming another successful backup. In the event of a problem, the DataBackup Monitoring System will alert a technician. Where will my data be stored?

DataBackup operates in Ireland, the UK and France from six data centres: Dublin (Irl), Wrexham (UK), Cardiff (UK), Tours (Fra) and Lyons (Fra). There can be statutory issues with storing data outside your jurisdiction, so we will only store data within your country of business, unless you request otherwise.

Can I backup an entire Operating System?

This process is not automated, however, is possible if you follow these manual instructions:

1. Add all files to your backup source
2. Add a SystemState backup type to your backup account (Windows only)

To restore, including the operating system:

1. Re-install the operating system and applications
2. Restore the SystemState backup to your machine (Windows only)
3. Restore all files to your machine

Can I change my encrypting key?

The integrity of your backup can only be maintained using one key encryption. This encryption key can only be changed if you recreate your backup set. It is vital you look after your encryption key – LOSE YOUR ENCRYPTION KEY AND YOU LOSE YOUR DATA!

How does it work?

The DataBackup Online Backup Suite consists of 3 main modules:

  • The client software – DataBackup Online Backup Manager (DataBackupOBM)
  • The server software – DataBackup Offsite Backup Server (DataBackupOBS)
  • The replication server – DataBackup Replication Server (DataBackupRS)

DataBackupOBM oversees scheduled backups at your side and provides you with the user interface. DataBackupOBM supports most operating systems, including Windows 2000, XP, 2003, Linux and Mac OS X, and a wide range of applications such as MS Exchange, MS SQL, Oracle, MySQL and Lotus Domino.

DataBackupOBS is the program that stores the data from multiple backup accounts to our hosting servers. A web-based Management Console allows system administrators to configure system parameters, as well as view backup statistics and reports. Users can log onto the Management Console to manage their backups or restore data. DataBackupOBS supports Windows, Linux and Mac OS platforms.

DataBackupRS runs on a separate machine to provide almost simultaneous backups for multiple DataBackupOBSs. As a result, if one server fails, the DataBackupRS still has a copy of the data. In all, DataBackup maintains three full, distinct copies of your data at any time, hosted in Blanchardstown and Tallaght in Ireland, as well as in Cardiff, Wales.

Does DataBackup Online Backup copy all files with each backup?

No. After the initial upload, subsequent backup jobs only transfer the modified or new data to the Backup server, meaning backups complete more quickly.

Does an application stop when a backup is in progress?

No, DataBackup Online Backup involves no disruption to your normal IT processes.

What happens if I’ve a huge amount of data to back up initially?

If you have a lot of data (in excess of 300GB) it makes sense to use our Seed Loading Utility to backup to a local removable hard disk initially and then transport the backup to us. Otherwise, your initial backup can take days, or even weeks, to complete.

Can I back up open files?

Volume Shadow Copy allows backups of open file and is incorporated with Windows XP and 2003 by default. For older platforms, e.g. Windows 9x/ME/NT/2000 or NetWare, we recommend adding a third party open file manager option, such as St. Bernard Open File anager – http://www.stbernard.com/). Neither is required on Linux/Unix/Mac OS X as no files are held exclusively open by applications.

What happens when we do In-File Delta backup on a directory?

DataBackup Online Backup looks after it all:

  1. Checks for added, updated or deleted files
  2. Uploads new files to the server
  3. Transfers deleted files from the Data area to the Retention area on the Backup server
  4. Processes updated files In-File delta option (i.e. only changed data blocks within the files will be uploaded to the Backup Server)

Are there any command line tools for DataBackupOBM?

There are a set of scripts in [DataBackupOBM Program Home]bin as follows:

Windows:

  • Decrypt.bat: decrypts the specified backup files
  • install.bat: installs the DataBackupOBM icon to the System Tray and registers the Online Backup Scheduler as a service
  • Install-Scheduler.bat: registers the Online Backup Scheduler as a service
  • RegisterVSS.bat: re-registers Microsoft’s Volume Shadow Copy service DLLs
  • Remove-Scheduler.bat: unregisters the Online Backup Scheduler service
  • Restore.bat: restores the specified snapshot of the backup set to the specified location
  • RunBackupSet.bat: runs the specified backup set
  • RunOBM.bat: launches the Online Backup Manager user interface
  • Run-Scheduler.bat: starts the Online Backup Scheduler service
  • SeedLoad.bat: runs seed load for the specified backup set to the specified location
  • Uninstall.bat: removes the DataBackupOBM icon from the System Tray and unregisters the Online Backup Scheduler service

Linux:

  • BackupManager.sh: launches the Online Backup Manager user interface
  • Configurator.sh: configures client parameters such as Backup Server address, username/password, encrypting key, etc.
  • Decrypt.sh: decrypts the specified backup files
  • Restore.sh: restores the specified snapshot of the backup set to the specified location
  • RunBackupSet.sh: runs the specified backup set
  • Scheduler.sh: starts the Online Backup Scheduler service
  • SeedLoad.sh: runs seed load for the specified backup set to the specified location
  • StopScheduler.sh: stops the Online Backup Scheduler service

Does the DataBackupOBM upgrade Java on the client machine, or does it install a separate copy for it own use?

DataBackupOBM uses its own copy of Java and leaves the system Java VM intact.

For In-File Delta backup, is a temporary working directory needed?

DataBackupOBM requires temporary storage for the delta file before it gets sent to the server. For example, if you have a 10GB file that has already been backed up to the server and you have updated 10MB of this file, then you need to have at least 10MB of free space in the temporary directory for the delta file. You do not need 10GB of free disk space. Likewise, if you have 5 x 10MB files to be backed up, you still need only 10MB of free space (50MB) – each delta file will be automatically deleted after it has been backed up.

What is the average compression ratio when backing up to the server?

The average compression ratio for text-based files is 4:1. However, no further compression can be achieved on files that are already in a compressed format (e.g., JPG or ZIP). So, in general, assume a 2:1 compression ratio for a backup that includes compressed files already.

What are the Off-line Backup, Logout Backup Reminder and Local Backup features?

Off-line Backup – Designed for off-line notebook users who cannot rely on the regular backup schedule. These users can specify their own interval for backups. Once elapsed, the backup will run automatically as soon as the machine is online.

Logout Backup Reminder – Asks the user if they would like to backup before logging out or shutting down their computer.

Local backup – allows an extra copy of the backup file to be kept on local hard disk.

What’s the difference between incremental backup and In-File Delta?

During incremental backup, only changed files (or new files) are uploaded. In-File Delta is applicable to physical files uploaded to the Backup Server, whether it is a MS SQL database file, MS Exchange transaction log file or any normal file in a FileBackupSet. Only changed blocks on the Backup Server (delta file) will be uploaded.

For each modified file, DataBackupOBM determines whether the entire file or only the delta file should be uploaded. If the entire file is uploaded, the old version is moved to the Retention area. If the delta file is to be uploaded, the previous delta files are moved to the Retention area and the Data area will contain the original full backup file, checksum file and the latest delta file.

What is the best way to restore a huge data set?

We can copy the data of the backup set to removable media such as an external hard disk and ship it to you. You can then use the Decrypt Files Tool in DataBackupOBM to restore the backup data to its original format.
